1. Cancellation Overview

At MHZ SYSTEM SOLUTION, we understand that circumstances may change and projects may need to be cancelled. This policy outlines the terms and conditions for cancelling our services.

2. Cancellation Rights

Both parties have the right to cancel services under certain conditions:

  • Client Cancellation: Clients may cancel services with proper notice
  • Company Cancellation: We may cancel services for non-payment or contract violations
  • Mutual Agreement: Services may be cancelled by mutual consent
  • Force Majeure: Cancellation due to unforeseen circumstances

3. Cancellation Timeline and Notice Requirements

Cancellation Notice Requirements

Before Project Start: 7 days written notice required
During Development (0-25% complete): 14 days written notice required
During Development (26-50% complete): 21 days written notice required
During Development (51-75% complete): 30 days written notice required
Near Completion (76%+ complete): Cancellation not recommended

4. Cancellation Process

To cancel services, follow these steps:

  1. Submit Written Notice: Send cancellation request to mhakim.zakaria@gmail.com
  2. Include Details: Project reference, reason for cancellation, and desired timeline
  3. Review Period: We will review and respond within 3-5 business days
  4. Transition Planning: Work together to plan smooth transition
  5. Final Settlement: Complete any outstanding payments and deliverables

5. Refund Policy for Cancellations

Refund Structure

Refund amounts depend on project completion status:

  • 0-25% Complete: 75% refund of remaining balance
  • 26-50% Complete: 50% refund of remaining balance
  • 51-75% Complete: 25% refund of remaining balance
  • 76%+ Complete: No refund available
  • Processing Fees: 3-5% deduction from refund amount

6. What Happens After Cancellation

Upon cancellation confirmation:

  • Work Stoppage: All development work ceases immediately
  • Deliverables Handover: Completed work products are delivered to client
  • Documentation Transfer: All project documentation and source code provided
  • Final Invoice: Invoice issued for work completed to date
  • Project Closure: Project officially closed in our system

7. Non-Refundable Items

Important Notice

The following items are non-refundable:

  • Third-party software licenses and components
  • Domain registrations and hosting fees
  • Third-party API costs and subscriptions
  • Travel and accommodation expenses (if applicable)
  • Processing and administrative fees

8. Company-Initiated Cancellations

We may cancel services under these circumstances:

  • Non-Payment: Failure to make required payments within 30 days
  • Contract Violations: Breach of terms and conditions
  • Unreasonable Demands: Requests that exceed agreed scope
  • Legal Issues: Compliance or regulatory concerns
  • Force Majeure: Natural disasters or other uncontrollable events

9. Post-Cancellation Support

After cancellation, we provide limited support:

  • Documentation: All project documentation and source code
  • Knowledge Transfer: One session to explain completed work
  • Contact Information: Referrals to alternative service providers if needed
  • No Ongoing Support: Technical support ends upon cancellation

10. Reinstatement of Services

If you wish to resume services after cancellation:

  • New Agreement Required: New contract and terms must be established
  • Updated Pricing: Current market rates may apply
  • Project Review: Reassessment of project scope and requirements
  • Additional Costs: Re-startup fees may apply

11. Dispute Resolution

If there are disagreements about cancellation terms:

  • Direct Discussion: First attempt to resolve through direct communication
  • Management Review: Escalate to senior management if needed
  • Mediation: Consider third-party mediation services
  • Legal Action: As last resort, subject to governing law
